ebs-plus extends the power of Business Central to provide localised payment management, email remittance, vendor management, bulk import of journal entries, direct debit payments, audit trails and more.
This blog will walk you through the ebs-plus emailing function for sending an invoice, customer statement to customer or vendor remittance to vendor etc.
This ‘how to blog’ assumes that the user has a licensed version of ebs-plus.
The first time you use this function, you will need to complete the setup prior to using email.
ebs-plus Email Setup
Before emailing ebs-plus Reports from Business Central to suppliers or customers, an Email Setup Card (ebs-plus) needs to be setup. Multiple email cards can be setup for each report such as Posted Sales Invoice, Customer Statement, Vendor Remittance etc. These codes need to then be linked to the appropriate field on ebs-plus Setup under the Email Setup tab.
For example, to setup an Email Setup card for the Customer Statement, navigate to Email Setup (ebs-plus) and create a new record with the code such as “CUSTSTAT”. Edit the record to complete the card setup. The Email Setup Card consists of the header and lines for the Email Message Body.
Header fields include Description, From Sender Name, From Email Address, Bcc Email Address, Email subject and Document Attachments. The Email subject field allows users to construct text with up to 8 placeholders (e.g. Document No. %1, Entity %2). The field supports 250 characters. During the Email process, these placeholders are translated to actual content from the associated transaction or master data (e.g. %1 for the Document No. will be translated into Document No. 01234).
The Document Attachments field allows users to upload additional documents to be Emailed with the report. The documents can be setup by clicking on the record that is initially set to 0. This will open the Email document attachments (ebs-plus) card page to upload a file, set an expiry date if required and enable the document attachment. Multiple files can be attached as separate records and enabled.
The following table describes the content of each of the placeholders for the Email subject:
Placeholder | Corresponding translation |
%1 | Document No. |
%2 | Entity Name (e.g. Customer Name, Vendor Name) |
%3 | Company Name + Company Name 2 |
%4 | Transaction Amount |
%5 | Transaction Date |
%6 | “ |
%7 | Contact First Name |
%8 | Contact Last Name |
%9 | Sell to Customer Name |
%10 | Customer Total Balance (Statement) |
%11 | Customer Overdue Balance (Statement) |
%12 | Customer Last Payment Date (Statement) |
%13 | Customer Last Payment Amount (Statement) |
The Email Message Body allows users to construct a HTML formatted Email message across multiple lines. The following actions have been added on the page for users to easily setup Email messages:
- HTML Editor: Online HTML editor to setup HTML Email body text and save it as a .txt file.
- Upload HTML Code: Function to upload the .txt file and saves content to the Text field on Email Message Body.
- Download HTML Code: Existing Email message can be downloaded as a .txt file and modified to be re-uploaded.
For initial setup, run the HTML Editor to generate HTML text and save the output to a text file. Upload file to save the Email message. The Email message allows users to construct text with up to 14 placeholders to translate associated transaction content.
The following table describes the content of each of the placeholders for the Email Message Body:
Placeholder | Corresponding translation |
