How to Define Excel Layouts in User-Defined Financial Reports

Creating customised Excel layouts for your financial reports can greatly enhance clarity and usability. Here’s a quick guide on how to set up Excel Layouts within the User-Defined Financial Report module.

Step 1: Navigate to Excel Layouts

Start by going to the User-Defined Financial Report section. Under the Definitions tab, select Excel Layouts. This will open the Financial Reports Excel Layout page.

Step 2: Add a New Layout

To create a new layout, add a new line and fill in the following fields:

  • Code: Enter a unique identifier for the Excel Layout.
  • Description: Provide a clear description to help users understand the purpose and structure of the layout.
  • File Name: Specify the file name that will be used when the layout is exported. If you leave this blank, the system will default to using the financial report’s name.

Step 3: Export the Excel Layout

Once your layout is set up, it’s time to export it. Simply click Export/Run. This action will generate an Excel template using the file name you specified in the File Name field. If no custom name was provided, the system will use the financial report’s name by default.

Step 4: Modify the Excel Layout

Open the exported Excel file. This will contain data based on the Financial Report.

You can tailor it to better suit your reporting needs. Here’s how:

  • Add a New Sheet: Create a new sheet within the Excel file to design your custom layout.
  • Insert a Report Header: Use Excel’s formatting tools to add a professional-looking header. This helps clearly identify the report and its purpose.
  • Use Lookup Functions: Pull data from the original template sheet using Excel formulas to populate your custom layout dynamically.
  • Rename the Sheet: Feel free to rename the new sheet to something more meaningful or relevant to the report.
  • Enhance Readability: Apply formatting such as bold text, borders, shading, and conditional formatting to improve the visual clarity of your report.
  • Hide the Original Template Sheet: To keep report clean and focused, hide the original template sheet. This helps declutter the workbook and ensures that the viewers only see the finalised layout.

Step 5: Import the Modified Excel Layout into Business Central

Once you’ve finished customising your Excel layout, it’s time to bring it back into Business Central.

  • Save Your Changes: After making all necessary modifications in Excel, save the file to your local system.
  • Import the Layout: Go back to the Financial Report Excel Layout page in Business Central and click “Import”. Select your modified Excel file to upload it.
  • Manage Multiple Layouts: Business Central allows you to maintain multiple Excel layouts for a single financial report. This is useful if you need different formats for different audiences or reporting purposes.
  • Set a Default Layout: You can designate one of your imported layouts as the Default Excel Layout. In this example, we’ve assigned the newly created layout as the default for the report.

Step 6: Run the Report Using Your Custom Excel Layout

Now that your modified Excel layout is imported into Business Central, you’re ready to generate your report.

  • Export the Report: Navigate to the User-Defined Financial Report and click Export to Excel/Print and choose “Open in Excel (using layout)”. This will export the report using the custom Excel layout you uploaded earlier.
  • View the Results: The exported Excel file will reflect your personalised formatting, structure, and any additional enhancements you made—ready for review, presentation, or distribution.
